Setup guide
From snapshot link to live in about 30 minutes, once your phone number and email are connected. Snapshot won't import? Reply to your delivery email. Stuck on anything else? Ask in the Autopilot Crew.
Join the Autopilot Crew (free)Before you start
- A HighLevel agency account. That's the login that owns your sub-accounts.
- Your snapshot link (from the confirmation page or your email).
- About 30 minutes, plus your business phone, email address, booking details and Google review link.
Load the snapshot
Log in to your HighLevel agency account first, then open your snapshot link in the same browser. HighLevel asks you to confirm the import into your agency.
Once imported, it shows up in your agency view with your other snapshots, usually under Account Snapshots, then Imported Snapshots. HighLevel renames menus from time to time, so the labels may differ slightly.
Create or choose a sub-account
Recommended: create a new sub-account for your business and pick the Autopilot Snapshot as its starting snapshot.
Already using a sub-account? You can load the snapshot into it instead. Review what it will add first, because items with the same name can be overwritten.
Fill in your custom values
Inside the sub-account, open Settings, then Custom Values. Fill in each one. Every message in the snapshot pulls from these, so you only type them once:
- Business name
- Owner name
- Phone
- Booking link (the link to your Free Estimate calendar)
- Review link (your Google review link)
- Service area
Connect your phone number, email and A2P
- Phone number: add or port a number in the sub-account so texts and missed-call text-back come from your business.
- Email: set up a sending domain so emails come from your business address and land in inboxes.
- A2P registration: register your business for texting through HighLevel. US carriers require it, and approval runs on their timeline. Texts may not deliver until it is approved.
- Calendar: open the Free Estimate calendar, set your availability, and assign yourself or your team.
- Website: put the quote request form and, if you use it, the chat widget on your website.
Read the messages, then turn on the workflows
Open Automation, then Workflows. Read each message and change any wording you want. Then publish each one:
- Speed-to-lead
- Missed-call text-back
- Appointment reminders
- Quote follow-up
- Review request
- Customer reactivation (runs only on contacts you tag, so turn it on when you're ready to send it)
Test it with a fake lead
- Fill out your quote request form using your own name, cell phone and email.
- Check that you got the instant text and email, and that you got the new-lead alert.
- Open the sales pipeline and find your test lead in New Lead.
- Call your business number from another phone and let it ring out. You should get the missed-call text.
- Move your test lead to Won. The review request should arrive.
- Delete the test contact when you're done so it doesn't get follow-ups.
What's in the snapshot
Every piece the steps above refer to, matching the contents list on the main page.
Catch every lead
- Quote request form. Name, phone, email, service needed, address, preferred time and notes, with text-consent boxes built in. Every submission kicks off the speed-to-lead workflow.
- Speed-to-lead workflow. An instant text and email, an opportunity created, you get an alert, and follow-ups on day 1, 3 and 7 until they reply.
- Missed-call text-back. Miss a call and they get a text right away saying sorry we missed you, with your booking link.
Win the job
- Sales pipeline. New Lead, Contacted, Estimate Booked, Quote Sent, Won, Lost.
- Free Estimate calendar. Customers book estimates online, straight onto your calendar.
- Appointment reminders. A confirmation by text and email, then reminders 24 hours and 2 hours before.
- Quote follow-up. Move a deal to Quote Sent and nudges go out on day 2, 5 and 10. They stop when the customer replies.
Grow from the jobs you finish
- Review request. Mark a job Won and a review ask goes out by text and email, with one reminder two days later.
- Customer reactivation. Tag your past customers and a win-back campaign goes out. Replies get booked onto your calendar.
Set up once
- Custom values. Business name, owner name, phone, booking link, review link and service area. Change them once and every message updates.
- Custom fields. Service needed, property address, lead source, job value and preferred time.
- Email templates. Six emails already written, plain and local: lead reply, follow-up, estimate confirmation, quote follow-up, review request and win-back. They pull in your custom values.
